Personal Assistant
An experienced, organised PA is needed to provide administrative and secretarial support to 2 Directors, with occasional support of a 3rd, to contribute to the smooth running of a well-established Marketing company based in Liverpool. This is the first time the Directors have required a PA, so we are looking for an experienced PA who is able to suggest & set up ways of working with them.
The Personal Assistant role
- To demonstrate strong initiative, and seek to implement systems to make the Directors’ lives easier & responding quickly to request for support
- Maintain an awareness of what the Directors have to achieve in a day and work towards supporting them in this, taking on any tasks that you’re able to
- Aim to save the Directors time wherever possible and carry out tasks on their behalf
- Diary and meeting management for Directors, keeping a close eye on approaching meeting start times, communicating to meeting attendees if start times need to be pushed if Directors are delayed
- Dealing with all calls on behalf of Directors, resolving any queries if possible and passing on messages
- Managing emails, establishing a clear email management and a communication plan with each Director, so enable clear visibility of what has been done, what needs the Directors’ attention, where replies are drafted etc
- Replying to the Directors emails on their behalf where possible, aiming to manage the vast majority of matters
- Managing additional mailboxes within the business, one regarding a new venture which requires admin management of mailbox and to support with the arrangement and delivery of the plan for a number of local events throughout the year ahead
- Implementing the process of running insightful reports from the system for the MD to enable greater visibility within the business
- Helping the Account Managers to successfully get quotes out to new potential clients, and that client approval is obtained in as many cases as possible, then also keeping the system updated with client responses and update job statuses
- Input your fresh ideas on ways to potentially develop effective and efficient processes within the office, improving the way things are done
- Respond to and support the MD with general ideas, thoughts she would like to work on
- Managing and updating internal systems
- To work alongside a team of employees ensuring excellent processes are maintained and followed
- HR admin – including keeping the holidays and sickness log, issuing offer letters, scheduling in staff reviews for Directors, prepping paperwork required, looking after the admin for the Kickstart & Graduate Schemes
The Personal Assistant requirements
- At least 5 years PA experience is essential
- Experience of previous management of a Directors diary & emails is essential
- Experience of working with multiple seniors and therefore of a number of different email and communication management plans
- Excellent attention to detail
- Good organisational and administrative skills and ability to work on own initiative
- A methodical thinker with the ability to quickly solve issues that arise with minimal disruption
- Good verbal communication skills
- Excellent English literature skills
- Proficient in Word, Excel & PowerPoint, able to produce PowerPoint presentations when required
- Experience in using WordPress is an advantage but not essential
Salary & Benefits
£24,000 – £27,000 depending on experience and suitability for the role.
Discretionary rewards & recognition
Hours: 37.5 hours per week, flexible start and finish times
Holidays: 25 days per year (with bonus holiday days)
